The Problem

One expired COI can cost you everything.

If a sub or vendor on your site doesn't have valid insurance when an incident happens, you're on the hook. Most GCs are managing this with email threads, spreadsheets, and hope.

📋
Spreadsheets don't send alerts

You're manually checking expiration dates — or worse, not checking at all. By the time you notice a COI expired, there's already been work done without coverage.

📨
Chasing subs wastes your day

Sending follow-up emails, waiting on PDFs, re-sending the same request three times. That's time you don't have — and a workflow that doesn't scale.

⚠️
The liability exposure is real

An uninsured incident on your job site can mean legal exposure, project delays, and costs you can't recover. Compliance audits are brutal when your records are a mess.

FAQ

Straight answers.

A Certificate of Insurance is a document issued by an insurance provider that proves a subcontractor or vendor has active insurance coverage. General contractors typically require COIs from every sub or vendor working on their job sites to protect against liability if an incident occurs.
When a COI is approaching its expiration date, Proof automatically sends a professional renewal reminder email to the vendor via SendGrid. You control the reminder cadence (e.g., 60, 30, and 14 days out). Vendors receive a direct request to send their updated COI — and soon, they'll be able to reply with the PDF and have it log automatically.
Most teams are fully set up within a day. Import your vendor list, upload your existing COIs, and Proof takes it from there. There's no complex onboarding, no IT required, and no training needed — if you can use email, you can use Proof.
Proof accepts standard PDF certificates of insurance, which is the industry-standard format provided by insurance brokers. Our upcoming inbound email parsing feature will also allow vendors to email their COIs directly into the system.
Yes. Proof is built on a secure cloud infrastructure with encrypted data storage and transmission. Your vendor data and COI documents are private to your account and never shared with third parties.
